February 2009 CRHOA Meeting Minutes
Below are the minutes from the February Chadds Ridge Homeowners Association (CRHOA) Meeting. These minutes were collected by our secretary Amy Rethman and submitted to the board as well as the homeowners.

Treasurer’s Report:

Received $23,000 plus in dues so far this year—GREAT!
Total cash–$18,726
We may not be rich at the end of the year, but we will not be in the negative.
Question from treasurer, what do you suggest we do to handle the delinquent accounts?
–write another letter that states forget all late and legal fees if you just pay what is owed, and if we don’t hear from you, according to law, these are our next steps.
–we should post neighborhood wide those homes that are delinquent. Might make people mad, but…
–some homeowners may be willing to donate funds to help hardships. If there are any, the board will work out the details.
Q. Can we turn it over to a collection agency?
A. Looking into it
Q.When will there be an EXACT estimate?
A. When the checks come in

Audit Committee:
Approved–in favor of forming an Audit Committee
Members: Roger Madden, Robbie Roberts, Mary Mangum, Janet Green
– Annual independent audit with a CPA (extra expenditure) that the by-laws call for.
- Looking at current fiscal year, move forward and put some formality to the process.
- This committee will be a “back-up” and a support system to the treasurer.
- The treasurer can ask questions and/or suggestions from the committee. However, the committee will report to the treasurer, but the board will have final word.
- They will review and offer suggestions about ways to improve our budget and expenditures.
–next step; look for a CPA
Q. Should we come up with some formal documentation?
A. Maybe, but a committee is open to all and reports are public. The committee should keep in direct contact with the treasurer. They will put some guidelines together.
Capital Improvements:
Pool:
Peggy Stein
Peggy will contact someone in regards to letter from USA Pools about new legislation. Also, she will contact an outside source to verify necessary changes.
ACC:
Adam Torrence
– Creating templates and letters.
– A volunteer form sent around room.
– Letter with fine schedule sent to the houses in crisis.
- We now have a paper trail and can follow up more closely
– Block captains will be in communication with ACC
Block Captains:
Lexi Evans and Kristie Sweat
– Welcome packets needed for new residents: make a proposal for the board about how much it will cost.
Q. Can everything be on-line?
A. Yes, most of it is.
Q. Can we move the bulletin board at the pool to the other entrance?
A. That board used during pool hours for parties, etc. so send proposal to board about purchasing a new sign.
Q. Block captain page on the CR web-site
A. Would include important links (send email to Chris and/or Tony)–they will OWN the directory: all processes will go through them
Landscaping Committee:
Joanne Sabater
Notice to the homeowners to start contacting me about mowing grass I would like to start getting people set up. I would also like to get the entrance near Shallowford cleaned up a little. You can put my phone # 770-591-1325.
Open Discussion:
MaryAnne and Peggy going to a legal seminar on 2/21 to learn more about our rights as a HOA and what other neighborhoods are doing. If anyone else would like to attend, give them a call.
Helping Hand Committee:
Committees can come up with charters that states what is expected of them.
Upcoming Events:
Saturday April 18 Spring Clean Up.
Saturday May 16 Pool opening until October.
