2009 Annual Homeowners Meeting Minutes

Below are the minutes from the 2009 Annual Chadds Ridge Homeowners Association (CRHOA) Meeting. These minutes were collected by our secretary Amy Rethman and submitted to the board as well as the homeowners.

HOA Annual Board Meeting
Saturday, May 16, 2009
10:00 AM at Pool

Attendees: Board members (Mary Anne Kristan, Peggy Stein, Amy Rethman, Mike Barfield) and homeowners

Quorum established @ 10:15 am

Treasurer’s Report
Mike Barfield
–see printout on website
Audit Committee—Mike discussed why and how it was formed and what the committees roles will be.
Mike spoke on behalf of the members: Roger Madden, Robbie Roberts, Mary Mangum, Janet Almeida
–annual independent audit with a CPA (extra expenditure) that the by-laws call for. Looking at current fiscal year, move forward and put some formality to the process. This committee will be a “back-up” and a support system to the treasurer. The treasurer can receive (and respond to) questions and/or suggestions from the committee. However, the committee will report to the treasurer, and the board will have final word. The Audit Committee will review and offer suggestions about ways to improve our budget and expenditures.
Legal actions—although liens costs us if house is foreclosed, we are taking another run at the most delinquent homes. Also, the FOR SALE properties are having liens placed on them immediately in hopes that we will see quick action come from these homes.
–Donna Blackshaw has offered her assistance for Mike regarding phone calls.
–Suggestion of a last ditch letter to offer a 1 time, limited time ONLY to pay half of their delinquency, then start fresh with 2009 dues. **most HO said no, just take legal action…no more nice guys!**

Amenities
Peggy Stein
–a salt water system was looked into for budget 2010. It would cost $3000 but is more cost efficient in the long run. If you have questions, call Peggy.
–entrance fences are being stained
Pool—hours are 12-5 everyday and a child must be 11 years old to be here without adult DURING life guard hours. After hours, you must be 18 or be with someone who is 18 years of age. Again, this is a liability issue so please adhere to the rules and report anyone you see not following them, no matter who they are.
–the procedures for rental of the gazebo for parties can be found on the website.

ACC

–walk throughs will be going on May 30-31. If there are any homes you feel are in need of repair, please send email (found on the website) to one of the ACC members or call.

Directories should go out soon. If you have a light out on your street, report it to EMC. Also, EMC gives the best estimate for removing trees and gives out free pine mulch, just call them.

Website

The site has a brand new look and is more user friendly. Please send email to Chris if you would like anything added, such as activities dates, pictures, etc. The site has most anything you need like forms, calendar for pool reservation, etc. But it will not be on there if Chris is not informed of it. PLEASE access the site first for your questions.

Social Committee
Barbara Geary
–due to current budget cuts, there have not been many social events like in the past.
Suggestion: if parents want to participate, then they can help out financially or materially. For example, a 4th of July party at the pool will entail a monetary or bring a dish contribution in order to participate. This was a majority agreement from the homeowners present..
Yard of the Month: Debbie Winter has volunteered to do this

Open Discussion
Liberty Disposal owners came by to speak with the homeowners. They are a family owned company and they heard of another waste disposal company soliciting in our neighborhood and wanted to reassure us that Liberty is still the better company.
1. They use smaller trucks that run on bio-fuel, so this helps with safety in the streets and cleaner air.
2. They will match any competitors’ rates; that’s how important our business is to them.
3. They DO recycle your recyclables, they are NOT put in the landfill with the other trash. It may cost them more, but the environment is more important…they have kids and grandkids.
4. Please call them before thinking about switching, they truly want our business
5. Since we have over a certain percentage (80%?) of homes using Liberty, we receive FREE pickup at the amenities area (2 trash cans and 1 recycle can). So that saves the HOA.

Wish list for 2010???
–a card entrance for the pool and tennis courts (instead of code and keys)
